Pay Range: $25–$30 per hour, DOE + benefits package

Job Summary

 

Seeking an organized and proactive Legal Assistant to provide administrative and legal support across multiple practice areas. This position offers an opportunity to work directly with attorneys in a client-focused environment. The ideal candidate will bring a balance of independent initiative and strong team collaboration skills.

 

Key Responsibilities

 

1. Attorney & Administrative Support:

 

  • Provide full administrative support to attorneys, helping to optimize efficiency and maximize their billable time.
  • Maintain and update attorney calendars, task lists, and meeting reminders.
  • Prepare attorneys for meetings with accurate, timely materials; provide in-meeting support, as needed.
  • Organize and maintain legal files (primarily digital).
  • Draft, edit, and finalize legal correspondence, filings, contracts, and internal memos.

 

2. Client Communication & Onboarding:

 

  • Act as a professional point of contact for client inquiries, scheduling, and follow-ups.
  • Prepare and track engagement letters, intake forms, and client communications.
  • Support client onboarding and maintain accurate client records and documentation.

 

3. Legal Process & Project Management:

 

  • Track key dates for deadlines, hearings, filings, and renewals.
  • Manage legal workflows and project milestones.

 

4. Corporate & Business Entity Support:

 

  • Support entity formation and maintenance, including filing with the Arizona Corporation Commission and other agencies.
  • Draft and track contracts, manage versions, and monitor key contract milestones.
  • Maintain ownership and compliance-related records.

 

5. Billing, Timekeeping & Office Operations:

 

  • Assist with invoice preparation and resolution of billing inquiries.
  • Support general office tasks typical of a small law firm.

 

6. Reporting & Systems:

 

  • Maintain document management systems to ensure version control and accessibility.
  • Generate basic reports related to workload, deadlines, and billing.

 

7. Continuous Improvement:

 

  • Proactively identify and suggest process improvements to enhance efficiency and service delivery.
  • Stay current on legal industry tools, software, and best practices.

 

Experience

 

  • Minimum 3 years of experience in a Legal Assistant, preferably in a law firm setting.

 

Skills & Competencies

 

  • Strong organizational and multitasking skills with high attention to detail.
  • Excellent written and verbal communication.
  • Ability to work independently and as part of a collaborative team.
  • Tech savvy; proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams) and legal case/document management software.
