Accounting Operations Manager

Our client is seeking a detail-oriented and organized Accounting Operations Manager to oversee the financial operations related to employee compensation and vendor payments. The Accounting Operations Manager will ensure the accurate and timely processing of payroll for 175 employees, compliance with regulatory requirements, and efficient management of accounts payable. The ideal candidate will possess strong analytical skills, a commitment to confidentiality, and the ability to work collaboratively with various departments.
Key Responsibilities:
Payroll Management:
- Process bi-weekly/monthly payroll for 175 employees, including salaried and hourly staff.
- Ensure accurate calculation of wages, overtime, bonuses, deductions, and benefits.
- Maintain payroll records and ensure compliance with federal, state, and local regulations.
- Prepare payroll tax filings and related reports (e.g., W-2, 1099, etc.).
- Address payroll discrepancies and resolve employee inquiries promptly.
Accounts Payable:
- Manage the end-to-end accounts payable process, including invoice verification, approval, and payment.
- Ensure timely payments to vendors while maintaining positive vendor relationships.
- Reconcile accounts payable transactions and resolve discrepancies.
- Maintain vendor records and ensure compliance with W-9 and 1099 requirements.
Reporting and Compliance:
- Prepare financial reports related to payroll and accounts payable for management review.
- Assist in audits by providing necessary documentation and information.
- Stay current on payroll and accounts payable regulations to ensure compliance.
Process Improvement:
- Identify opportunities to improve and streamline payroll and accounts payable processes.
- Implement best practices and leverage technology to increase efficiency and accuracy.
Assistant Controller:
- Support the Controller in overseeing the organization’s financial operations.
- Assist in ensuring accurate financial reporting.
- Assist in maintaining compliance with regulations.
- Provide support to strategic decision-making.
Qualifications:
Education and Experience:
- Bachelor’s degree in Accounting, Finance, or a related field (preferred).
- 3-5 years of experience in payroll and accounts payable management.
- Experience with payroll and accounting software.
Skills:
- Strong understanding of payroll processes and applicable laws and regulations.
- Proficiency in accounts payable processes, vendor management, and reconciliation.
- Excellent organizational and time management skills.
- High level of accuracy and attention to detail.
- Ability to maintain confidentiality and handle sensitive information.
Preferred Qualifications:
Certification in Payroll (e.g., CPP or FPC) or Accounts Payable (e.g., AP Specialist).
Experience in managing payroll and AP in a company with 100+ employees.
Work Environment:
- Full-time, on-site role (hybrid an option after completing training and introductory period).
- Occasional need for overtime during payroll processing or fiscal year-end activities.
